This Privacy Policy explains how we collect, hold, use and disclose personal information when you use our website, vehicle builders and configurators, request a quote, purchase products or services, communicate with us, or otherwise deal with Ultimate 4WD.
Personal information we collect
The personal information we collect depends on how you interact with us and may include:
- your name, email address, telephone number, postal address and postcode;
- billing, shipping and transaction information;
- information you provide when making an enquiry, requesting a quote or communicating with us;
- vehicle information, including vehicle model, variant and other relevant vehicle details;
- vehicle build and configuration information, including selected products, accessories and options;
- quote information, pricing and Build IDs;
- information you provide about your intended vehicle use, including travel, load and towing information such as traveller numbers, cargo, trailer ATM and tow-ball mass;
- your intended purchase timeframe and requested follow-up preference;
- notes or other information you choose to provide about your requirements;
- information about purchases, returns, warranty matters and previous dealings with us;
- account information where you create or use an account through our website;
- device and usage information, such as browser type, IP address and information about how you interact with our online services; and
- other information that is reasonably necessary for us to provide our products, services or support.
We do not ordinarily seek to collect sensitive information. Please avoid providing sensitive personal information unless it is genuinely necessary for us to deal with your enquiry or provide a service.
How we collect personal information
We usually collect personal information:
- directly from you when you use our website or vehicle Builder;
- when you submit a build, quote request, enquiry or contact form;
- when you contact us by email, telephone or another communication channel;
- when you purchase products or services from us;
- during vehicle consultations, bookings, installations, warranty matters or other dealings with us;
- automatically through our website and online services, including through cookies, browser storage and similar technologies; and
- from service providers or other parties where this is necessary to provide a service to you or where you have authorised the disclosure.
Vehicle Builder and quote information
Our vehicle Builder allows you to configure a vehicle and provide information about how you intend to use it.
When you complete and submit a build, we may retain:
- your contact details;
- your selected vehicle and complete build specification;
- pricing and quote information;
- your Build ID;
- travel, load and towing inputs;
- calculated weight, payload and relevant compliance information;
- purchase timeframe;
- requested follow-up preference; and
- any notes you provide.
We use this information to create and retain your build and quote, assess your enquiry, understand whether and how we can provide the requested services, and manage any follow-up.
We will take your selected follow-up preference into account. We may still contact you where reasonably necessary to clarify your requirements or discuss compatibility, compliance, availability or other matters directly relating to a build or quote you submitted.
Postcode and location information
We collect postcode information so we can understand where an enquiry originates and whether location affects our ability to provide the requested products, installation or other services.
How we use personal information
We may use personal information to:
- respond to enquiries and provide customer support;
- prepare, issue and retain quotations;
- provide products, installation and other services;
- assess vehicle requirements and proposed builds;
- provide information about compatibility, loading, towing and compliance matters;
- contact you regarding a quote, build, booking, order or service;
- process orders, payments, deliveries, returns and warranty matters;
- maintain records of our dealings with you;
- manage bookings and workshop operations;
- improve our website, Builder, products and services;
- maintain the security and integrity of our systems;

- protect our legitimate business interests.
Marketing and promotional communications
We may send marketing or promotional communications where permitted by law, including where you have provided consent or where consent may lawfully be inferred from our relationship with you.
Submitting a vehicle build or quote request does not, by itself, mean that we will disregard the follow-up preference you selected.
Marketing emails and SMS messages will include an appropriate way to unsubscribe where required. We will action unsubscribe requests in accordance with applicable law.
Opting out of marketing does not prevent us from contacting you about an existing quote, order, booking, warranty matter or other non-promotional transaction or service.
Cookies, local browser storage and similar technologies
Our website and the services we use to operate it may use cookies and similar technologies for functions such as website operation, security, preferences, analytics and advertising.
The vehicle Builder may also use local browser storage to remember an unfinished build on the device and browser you are using. This allows you to continue a build without starting again.
Information stored locally in your browser is separate from a submitted build. A completed build is not stored in our permanent build database until it is submitted to us.
Third-party services used by our main website may also use cookies or similar technologies in accordance with their own privacy practices.
How we hold personal information
Personal information may be held electronically in systems used to operate our business, including:
- our Shopify website and ecommerce systems;
- the Ultimate 4WD vehicle Builder;
- cloud hosting and database services;
- customer communication and enquiry-management systems;
- email and business administration systems;
- accounting and transaction systems; and
- backup and security systems.
Some information may also be held in physical business records where appropriate.
Shopify
Our main website and online store are powered by Shopify.
Shopify processes personal information in connection with providing ecommerce, website, transaction and related services to us. Shopify and its service providers operate internationally and may process personal information in multiple countries.

Vehicle Builder and Netlify
Our vehicle Builder is hosted using Netlify infrastructure.
When you submit a completed vehicle build, information associated with that submission may be processed or stored using Netlify hosting, server-side functions and database services.
Netlify and its service providers may process personal information outside Australia, including in the United States.
Disclosure of personal information
We may disclose personal information where reasonably necessary to:
- ecommerce, hosting, database, IT and cloud service providers;
- customer communication and support platforms;
- payment and financial service providers;
- delivery, freight and logistics providers;
- suppliers where necessary to fulfil an order or resolve a product matter;
- engineers, certifiers, inspectors or other specialists involved in vehicle modification or compliance work;
- government, licensing or regulatory authorities where required or reasonably necessary;
- insurers, accountants, legal advisers and other professional advisers;
- law enforcement or other authorities where required or authorised by law; and
- another party in connection with a sale, restructure or transfer of all or part of our business.
We do not sell customer contact lists or trade personal information as a business activity.
Overseas disclosure and processing
Some of the service providers we use operate outside Australia.
Personal information is therefore likely to be disclosed to or processed by overseas recipients, including recipients located in:
- the United States;
- Canada; and
- Singapore.
Other countries may also be involved where service providers use international infrastructure or subprocessors.
For example, Shopify contracts with Australian/APAC merchants through its Singapore entity and uses affiliated entities and service providers in a number of countries, including Canada and the United States.
Where we disclose personal information to an overseas recipient, we take reasonable steps as required by the Privacy Act to ensure appropriate handling of that information.
Security
We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure.
Measures may include access controls, secure service providers, system security controls, authentication, restricted staff access and appropriate business procedures.
No internet transmission or electronic storage system can be guaranteed to be completely secure.
If we become aware of a data breach, we will assess and respond to it in accordance with our obligations under applicable privacy law, including the Notifiable Data Breaches scheme where applicable.
